Your new role
Working under the Finance Manager, you will be responsible for:

  • Full function Accounts Payable
  • Processing invoices/payments
  • Entering and coding invoices
  • Liaising directly with suppliers
  • Matching supplier invoices to purchase orders


What you'll need to succeed
You'll have previous experience working in a similar position as well as:

  • Experience handling full function Accounts Payable
  • Ability to process high volume of invoices/payments
  • Ability to reconcile accounts
  • Large ERP system experience desired but not essential

We have an opportunity for an experienced Finance Officer (12 month contract) to join our finance team, based in either Sydney or Brisbane. In this role you will be tasked with providing a high level of matter management and client support, specifically in relation to maintaining accurate client and matter set ups, special rate requirements and e-billing.

Responsibilities

  • Provide a high level of matter management and client support specifically in relation to maintaining accurate client and matter set ups, special rate requirements and e-billing.
  • Manage Norton Rose Fulbright group (global) matters; ensuring Norton Rose Fulbright group clients and matters are opened correctly in the practice management system and bills are processed in accordance with global procedures;
  • Perform initial setup steps on eBilling platforms in preparation for ebill uploads, maintain eBilling setups in the practice management system, perform monthly file uploads, liaise with eBilling vendors to correct/clarify any issues, investigate and correct any ebill upload failures, maintain ebill guides and ebill client register;
  • Manage existing client and matter information in the practice management system nationally. Including, global matters, client name changes, third party payors, GST treatment, fee estimates, matter transfers;
  • Set up and amend special rates on clients and matters in the practice management system
  • Assisting with WIP management / billing/ad hoc queries;
  • Identifying potential process improvements and efficiencies;
  • Providing assistance and support within the Client Accounting team to ensure smooth functioning of the finance department;

Requirements

  • Proven experience working as a part of a finance function, law firm experience an advantage but not essential.
  • Highly developed time management and organisational skills with the ability to give attention to detail, to work under pressure and adhere to tight deadlines
  • Demonstrated ability to deliver exceptional customer service to internal and external clients
  • Demonstrated ability to use a high degree of initiative, and adopt a proactive approach to work;
  • Highly motivated with the ability to work effectively as part of a team
  • Knowledge of Aderant Expert or similar practice management system is preferred but not essential;

We are currently looking for an experienced and professional Accounts Officer to join our team based at Campbell Park Offices in Canberra.  Reporting to the Financial Controller, you will assist in the financial management of Navy Canteens operations.

What you will be doing:

  • Performing full function Accounts Payable and Receivable at a standalone capacity
  • Matching, batching, coding and processing invoices
  • Preparing and arranging payment to suppliers
  • Internal and external liaison with suppliers / vendors
  • Maintaining the billing system
  • Generating invoices and account statements
  • Performing account reconciliations
  • Maintaining accounts receivable files and records
  • Producing monthly financial and management reports
  • Investigating and resolving any irregularities or enquiries
  • Assisting in general financial management and analysis

You will bring with you:

  • At least 12 months experience in a similar role
  • High level of accuracy and attention to detail
  • Ability to work to deadlines
  • Professional presentation and manner
  • Ability to manage a diverse range of duties
  • Excellent communication skills both on the phone and in person
  • Ability to problem solve with a capacity to work through new processes
  • Experience with accounting systems (Xero is highly desirable).
  • Experience working in a similar role in the hospitality industry (desirable).
  • Experience using the Microsoft suite of products.

Due to security requirements you will need to be an Australian Citizen or Permanent Resident, and be able to obtain a Defence Baseline Security Clearance.

The role

Reporting to the Group Accountant, the Accounts Officer will work closely with the Accounts Payable Supervisor and other members of the finance team.

  • Timely and accurate processing of a large volume of invoices for Accounts Payable through our Optical Character Recognition (OCR) system.
  • Prepare domestic and international payments.
  • Efficient and accurate processing of supplier reconciliations and payments.
  • Resolve internal and external stakeholder queries.
  • Establishment of supplier credit accounts.
  • In addition to accounts payable, this role will utilise your skills across a range of responsibilities, including accounts receivable.

Skills and experience required for the role:

  • Previous accounts payable experience within a medium to large organisation is essential.
  • Exceptional communication skills and attention to detail. 
  • Proficiency in the Microsoft Office suite.
  • Experience working with a large ERP system.
  • Ability to work unsupervised and as part of a team. 
  • Excellent time management skills and the ability to perform under pressure.

The following skills and experience are desirable, but not essential for the role: 

  • Experience with OCR or other AP automation software.
  • Experience working in multi-company accounts.
  • Further education at a Cert III level or higher.

About the role

Due to business growth, we are currently looking for a Finance Officer to support the Office Manager with back office functions. This is an autonomous role which will comprise of key accounting tasks which will require the ability to multi-task, work well under pressure and show an exceptional attention to detail. Experience in all facets of accounting procedures and processes is essential. There may also be some other general related administrative duties.

This is a permanent part-time role based out of Burleigh consisting of 25 hours a week Monday through Friday 9am to 2:30pm. There is some flexibility available around days/hours but this would need to be negotiated around the business needs.

Reporting to the Office Manager the main responsibilities include:

  • Accounts receivable/payable
  • Payroll and SGC preparation and processing
  • BAS/GST/IAS Reconciliations
  • High Volume, complex weekly invoicing in line with NDIS legislation
  • End of month/quarter processing requirements
  • Ad-Hoc duties as required by the Office Manager

  • Ability to multi-task, prioritise and meet critical deadlines
  • Exceptional attention to detail
  • Experience working MS Office with intermediate/advanced Excel skills
  • Strong work ethic
  • Ability to achieve accuracy balanced with speed and efficiency
  • Ability to ask the right questions

Highly Desirable:

  • Any experience/knowledge of the NDIS (National Disability Insurance Scheme)
  • Previous experience in a similar account's role as an all-rounder
  • Ability to recognise improvements and the initiative to recommend and implement them
