Paraplanner/Administration Assistant

We are a busy Accounting and Financial Planning practice located in Coffs Harbour on the north coast of NSW. We are seeking a highly motivated Paraplanner/Assistant to support the financial planning team in the day to day operations of the practice.

Ideally we are seeking someone with a minimum of 3 years experience in the Financial Planning sector.  The successful applicant will be responsible for assistance with preparation of advice documents, advice research and modelling, dealer group and legislative compliance matters, completion and lodgement of applications, database management, workflow management, training schedules, appointment scheduling, as well as the normal operations of a busy practice.

Even though this is a full time position, we would be willing to consider part time hours for the right candidate. Remuneration will be in accordance with the Clerks – Private Sector Award 2010.

Essential Qualities and Experience:

  • Meticulous attention to detail
  • Client service focus
  • Great organisational and time management skills
  • Excellent oral and written communication skills
  • Previous experience in a financial planning office
  • Previous experience using Microsoft suite – Outlook, Excel, Word

Desirable:

  • Experience using XPlan software

  • Reviewing advice documents and paperwork to ensure they are complete and accurate.

  • Gather technical account and policy information on existing superannuation, insurance and the whole of life policies for analysis and review.

  • Provide financial planners with information and guidance on research, recommended strategies, alternate strategies, and Compliance.

  • Prepare relevant financial modeling for client situations.

  • Management of client portfolios

  • Review PDS documentation

What you'll need for the position:

You have a desire to work within a professional and supportive culture and will need to possess the following skills and experience:

  • Proven practical paraplanning skills and expertise

  • 2+ years of experience as a paraplanner is ideal

  • Exceptional attention to detail

  • Strong time management skills

  • A solutions-based focus (always asking if there's a better way)

  • Possess strong technical knowledge

  • Have excellent written and verbal communication skills,

  • RG-146 Qualified

Your role as Client Services Officer will see you support the TNR Wealth Management Director deliver quality wealth management services to our clients. To succeed, you need to be able to work with a high level of autonomy, be a strong lateral thinker and be committed ongoing process improvement. 

The role is offered as full time or part time (hours can be negotiated). 

The day to day:

  • Manage client and potential client interactions including queries, new referrals, correspondence, follow up and appointments.
  • Maintenance and use of Financial Planning platforms and software (XPLAN, Xeppo etc)
  • Conduct research on product providers and prepare summary reports.
  • Prepare Record of Advice (ROA) documents and associated paperwork for review.
  • Review documents for accuracy including Statement of Advice (SOA) and Record of Advice (ROA) documents.
  • Provide administrative support for client meetings including compiling documents (ROA, SOA, research, application forms etc) and meeting notes, to ensure accuracy and compliance with legislative requirements.
  • Lodgment and follow up of new and existing client service work.
  • General Financial Planning administration activities
  • Manage the production and processing of Fee Disclosure Statements, Opt in and Renewal notices for review
  • Maintain client files
  • Manage and communicate workflow and tasks

Skills and experience

  • 3+ years of experience working in a financial planning firm
  • Ability to thrive in a busy environment while maintaining high quality service and strict compliance with all legislative requirements and client service delivery expectations.
  • Excellent organisational and time management skills
  • Strong listening and communication skills (written and verbal)
  • Proactive and able to work autonomously to achieve objectives with a high level of accuracy
  • High level computer literacy with advanced skills in Microsoft Office suite, particularly Excel.
  • Experience in operating financial planning platforms such as XPLAN and Xeppo
  • Ability to work in a team environment
  • A desire for continual learning and process improvement
